Rules for Exhibitors during
the Magnificon Winter EXPO 2024

§1

The exhibitor, through the form, specifies the area rented by them and its type. Available areas:

There is a possibility of sharing one module between 2 artistic booths.

The rented area includes no furniture but is limited to trade fair construction. Sales booths can be arranged with the exhibitor's furniture, but there is no option to forgo the organizer's construction or set up one's tent. There is an option to rent tables from the organizer for 50 PLN net and dimensions of 80cm x 80cm, chairs for 5 PLN net, as well as additional rental items such as shelves, shelves, carpets, lighting points, glass display cases, and refrigerators, according to the available price list. Other items are negotiated individually, subject to our capabilities: wystawca@miohi.pl.


*A handicraft booth can only be rented if all the goods belong to handicrafts (items produced in a non-industrial manner, possessing artistic values ​​such as handmade jewelry, clothing, and other sewing forms, own drawings/graphics sold on various media, scrapbooking, handmade stuffed animals, etc.). If other products, gadgets with commercial photos, 3d prints or graphics, resale products, etc. will also be exhibited at the booth, it should be reported as a sales booth. §2 

The exhibition of goods must only be carried out in the space purchased by the exhibitor. It is forbidden to place racks, baskets, hangers, etc. outside the booth area, i.e. on communication routes or in space belonging to another exhibitor. There is also no possibility of attaching goods to the walls of the EXPO KRAKÓW hall, for this purpose, trade fair construction or own stands should be used, also within the exhibitor's own space. There is also no possibility of exhibiting distributors, so-called "A-boards" or advertising outside the booth.


§3 

The organizers collect the booth fee with a bank transfer before the convention starts. Payment must be made no later than 25.10.2024.


§4 

There is the option of paying for the booth, or part of it, in the form of conducting attractions. Details are negotiated individually.

§5 

For each purchased area, free tickets for booth staff are provided. Tickets are allocated as follows:

§6
Persons working at the booth who are not entitled to a free entry ticket must be registered in the form and a fee of 75 PLN net, along with the booth fee, must be paid. The number of additional tickets is limited.

§7
Additional booth requirements, such as an electrical socket (at a cost of 300 PLN net for the connection), must be indicated in the application form.

§8
The organizers do not provide sleeping rooms for exhibitors; the building will be locked at night, and exhibitors will not be allowed to stay inside.

§9
The hall will be available to exhibitors at the following times:

Setup:
Friday, 30.11.2024, from 12:00 to 20:00

Sales:
Saturday, 31.11.2024, from 9:00 to 21:00
Sunday, 01.12.2024, from 9:00 to 18:00

Takedown:
Sunday, 1.12.2024, from 18:00 to 22:00

Exhibitors are required to clean up their booth by 22:00 on Sunday. Failure to vacate the booth by that time will result in an additional fee for renting the Wisła hall, according to the Expo Kraków price list.

§10
It is possible to send goods via courier – however, organizers must be notified in the application email. Expo staff will not accept goods from the courier, so shipments must arrive at Expo only on Thursday or Friday. Otherwise, they will be returned to the sender.

§11
The organizers are not responsible for exhibitors' goods, including those sent by courier.

§12
It is possible to issue a VAT invoice for the booth. To do so, company details must be filled in the form. Cancellations or changes related to the invoice must be reported to wystawca@miohi.pl by 20.10.2024.

§13
Booths registered through the provided form, once accepted, will be displayed on the website in the "Exhibitor Zone" section. Please carefully fill in the booth description section, as it will be visible to all Magnificon participants. We recommend attaching the logo in a transparent PNG format. If the booth is shared, both descriptions and logos should be included in the booth description section.

§14
The organizer reserves the right to refuse booth rental to an exhibitor without providing a reason.

§15
The convention organizer takes no responsibility for the legal status of the sales conducted by exhibitors at the convention.

§16
The sale of the following is prohibited:

  • Weapons and ammunition as defined by the current Weapons and Ammunition Act,

  • Sharp-edged weapons; blunt-edged items are allowed only if transported in a safe manner (e.g., packed in a cardboard box),

  • Explosive and pyrotechnic materials,

  • Flammable, poisonous, foul-smelling, and radioactive chemicals,

  • Items and graphics that violate the law, good customs, or social norms.

§17
Any person working at the booth must not have a past conviction for sexual offenses.

§18
An exhibitor may sublet the booth to another entity only with the written consent of the organizer. This does not apply to artistic booths, which declare such intent through the form, and the acceptance of the application is automatically considered acceptance of the second exhibitor.

§19
Booth applications are accepted from 05.09.2024 to 06.10.2024 through the application form available on the website

§20
Booth applications will be confirmed by email from the organizers by 11.10.2024 at the latest.

§21
Accepting booth applications will be given priority to publishers, sponsors, and exhibitors contributing to the convention program. Only the main sponsors have the right to choose their booth location.

§22
In case of booth cancellation, the booth fee paid by the exhibitor will be refunded:

  • 100% if the cancellation occurs by 30.10.2024.

The organizer will refund the payment according to the above terms within 21 days after the event.

§23
Cancellation after this date will result in no refund, and if the exhibitor has not paid by that time, they will be obliged to pay the fee as outlined above.

§24
In the event of the cancellation of the event, the organizer will refund the entire booth fee within 30 days of the cancellation. If the event is rescheduled, exhibitors may request a full refund within 30 days after the new date is announced. Otherwise, the reservation and payment will be transferred to the new date. The organizer does not refund other costs incurred by the exhibitor due to the change or cancellation if the cancellation/change was due to unforeseen circumstances.

§25
It is forbidden to place advertisements, announcements, or information in any form (including the sticking of posters) on the premises of EXPO KRAKÓW, except within the rented sales booth area – all advertising surfaces, including walls and doors, are the property of EXPO KRAKÓW, and any fees will be charged according to their price list. This also applies to the walls of EXPO KRAKÓW in the case of booths without construction. To place any advertising materials, please contact wystawca@miohi.pl.

§26
Booth reservation is equivalent to accepting the exhibitor's regulations and the convention's regulations. Additional booth rental conditions not mentioned in the regulations are discussed individually with the organizers.

§27
In case an unregistered/unpaid booth appears at the festival, it will be removed at the exhibitor's expense.

§28
Exhibitors are obliged to comply with the main convention regulations.
